Ok, now you have this wonderful Daylite Database. It works really well provided people use it. What is the number one reason people don't use Daylite? It is because they don't know how to or they have forgotten how to use it even though they did know at one time.
Answer these questions: After a lead comes in how should it be categorized in your database? When should people follow up? How do they track outgoing calls? What field should this data be put in? How do I search for the most important people I need to talk to in my database? What procedures do I do to get these things done?
These are all questions that should be answered in your Policies & Procedures Manual. It should NOT live in your head. What if your business expanded and you needed to have 5 new staff effectively using the database in the next week? Would it cost you your precious time because you don't have a manual? What if you got hit in the head and you forgot where everything went? Don't laugh, it happened to me. I got into a car accident and a minor fender bender turned my otherwise crystal clear mind into a discombobulated fog for 3 months. Luckily I did have a manual in place and was able to re-teach myself how to use my database during my brain injury without having to wait for it to clear up. If you live by your database, you should have a manual for it.
