Getting Daylite Ready for Remote Access

If you are going to want to have someone work remotely on your database, there are two things you need to do to get ready for that.

Step 1. Get a static IP or a Dynamic DNS account.

At the server location, (the computer that will be hosting the Daylite Database) we will either need a static IP for the router, which you can get from your internet service provider or you will have to set up an account with a DNS provider like:

Step 2. Decide if you are going to do it yourself or have me help you.

Once you have either of those, I can go in and set it up to be accessed externally, or you can read this Knowledge Base Article to learn how to do it yourself.

If I do it, I will need to know the Make and Model of your router as well as the username and password. (Hint: If you have an airport base station acting as the router it will go much faster.) On the day we do it, I will need access to both the server Mac and also your remote worker's Mac so that I can make them talk to each other. This whole process can take anywhere from 1 to 2 hours depending how organized you are with your passwords and how co-operative your router is.

Daylite and iCal not communicating - An official word from Apple

I spoke to Tier 2 support at Apple today on behalf of one of my clients, The Keva Dine Agency. Here's what the Apple rep told me. "Engineering is aware of it and they are working on it. The answer may come as a software update or a Kbase article." I'll keep you informed as I know more.

So I wanted to spell out here what is going on with it so you are aware of it and can deal with it.

Daylite to/from Truth database is working fine.

Mobile Me to/from Truth database is working fine.

iPhone to/from Truth database is working fine.

AddressBook to/from Truth database is working fine

iCal to Truth Database is fine.

iCal from Truth Database is broken. Sometimes it might work, sometimes not. Mostly not!

THE SOLUTION:

If you have a 3g iPhone set up mobile me syncing, you will be golden. Just ignore iCal.

If you have an older iPhone or you rely on iCal you will have to wait for Apple to fix the problem.

There is a work around, but it has to be done onsite in root. I am not about to make that publicly available because it is very dangerous even for me to do and even if we do the work around, there are no guarantees it will work.

Sync Services shutting down in Daylite - An official word from MarketCircle.

I chatted with Marketcircle today and was made aware of the following: The engineers discovered a problem with syncing turning itself off when users are syncing AND have Offline databases. It's been fixed for the next release of Daylite.

In the mean time there's a workaround for users that are currently experiencing this problem via a script. Let me know if you are having these sorts of issues and I will pass on the instructions and the script. If you are not comfortable doing it yourself, you can schedule a time for me to help you with it. Or you can just wait for the next version for the issue to resolve itself.

Picking Ripe Prospects in Daylite

I've used Bill Good's prospecting system for years. In the upcoming Sales Prospecting & Sales and Lead Follow up in Daylite webinar you will learn how to put some of his key ideas to work for you in Daylite. As usual, I've modified it a bit from it's original but the basics are always the same.

Here is a piece of the system I use in Daylite.

On a scale of 1-10 in the Priority field of a contact, you want to work with a 10!

Seed is a priority of 1-3 - A prospect who wants info. Not ready to move forward.

Growing is a priority of 4-5 - A prospect who is actively inquiring and researching work with me. They might be ready at a later date. Don't have the money right now.

Fruit is a priority of 6-8 - This prospect is qualified, is the decision maker and has the money to move forward, but hasn't completely committed yet.

Ripe Fruit is a priority of 9 or 10. - Ready to buy NOW!

Thumbs up for the Calisto Pro

Last week I bought the Plantronics Calisto Pro. I set it up to use my Vonage account and I use Jonathan Nathan's Dialectic to dial from Daylite.

My whole calling process has never been so streamlined and easy to use. If you work at home and walk around a lot while you are talking. I highly recommend it. I also linked the headset to my iPhone, so when I leave the house, I just keep wearing the headset and it just works with my iPhone instead of my VOIP line at home.

Over the summer holidays, my boyfriend took me home to my country, Canada, and proposed to me.

It was just fantastic. We went to Vancouver Island, drove until the paved road stopped. Drove 2 more hours on a dirt road, hiked for 45 minutes in the bush then came out at San Josef beach. It was quite the setting.

This picture was taken immediately after I said yes. He's a wonderful man.

Why GTD is good for Anger Management

One of my courses in Metaphysical Sciences is Anger Management.

I found it interesting that Jones, in Overcoming Anger (2004) confirms David Allen's assertion that prioritizing tasks and getting the information out of your head can help alleviate stress. I like his method for prioritizing things. If you have been wondering how to prioritize your tasks, I can highly recommend this method.

Jones suggests an organization of tasks into the following, updated frequently:

1. Critical things. Things that must be done immediately in order to forego serious consequences.

2. Soon to be Critical Things. Not yet in category #1, but of a nature that they will become so if not soon

dealt with.

3. Normal things. Items like monthly bill paying, cleaning, that may eventually end up in #2.

4. Unimportant things. Items that will never become critical.

Though the simplicity of this list almost invites dismissal, to those suffering from anger problems the day‐to‐ day functioning within an arena of multitasking environments can be a critical factor in elevating stress and  invoking the anger reflex. Like journaling, getting items on paper metaphorically gets them “out of us,” or “out of our head” which, in the case of a person struggling with anger, relieves some of the pressure in a mind cluttered with irrational emotions. A particular side benefit is that it may help to differentiate (for the patient) any confusion about wants or desires, separating and clarifying our own wants and desires from the expectations of others, as well as removing non‐critical items from a stressful mental pressure of things that need to be  accomplished.

Of course Daylite has 5 levels of Priority. I would use the 5th level for completely trivial things.

A word about public beta's.

I don't recommend you use any beta software on a "production" database. Production means any database that you use for the production or maintenance of your income.

HOWEVER: If you have a good backup plan in place and know how to recover in the event of catastrophic failure, then by all means, go ahead. Here is a link.

1. Download and install Direct Mail from eThree software.

2. Download and install the Direct Mail Plugin for Daylite.

3. Start emailing!

Changing default applications

Client Question:

How do I change the default application? For instance I got rid of MS Office and now Textedit wants to open up my .doc documents, but I want Pages to open them. And I don't always want to right click to get this to happen. Can't I just change it once and for all?

MacAngel Answer:

Yes you can. Download and install the Preference Pane RCDefaultApp

Click on the extensions tab then click on .doc. Choose Pages as the default application instead of TextEdit.

(BTW - This does work in Leopard)

The status of Leopard and Daylite

Client Question:

I upgraded to Mac OS X 10.5 Leopard and I have Daylite 3.5.2 installed now DMI (Daylite Mail Integration) doesn't work.

MacAngel Answer:

DMI and Leopard do not play nice together in that version. Although there is a current Leopard Beta available for Daylite I personally do not recommend running a production database on a beta version. A production database is any database you count on for running your business or your life.

In the mean time, remove ~Library/Mail/Bundles/DayLiteMailIntegration.mailbundle if Leopard has not done this for you already. Just hold all the emails you want to put into DayLite in a mailbox so when we are out of beta you can go back and add those to Daylite. That is the smartest move at this point in time.

Having said that, the beta I am using for Leopard Build 1439 is running very smoothly, syncing is very much improved and the new data detectors in Mail.app makes it a dream to capture data into Daylite when syncing is turned on.

How to open Microsoft 2007 files for Mac OS X

Do you know if there is a version of the Microsoft software for Macs that allows opening of the new .docx files (Windows 2007)?

MacAngel Answer:

The best option at the present time is to open it into Pages 3.0 which is part of iWork '08. You can get a trial version for 30 days here. If you don't have pages, TextEdit can open it. It is in your Applications folder.

If you use Microsoft Office 2004 v11.3.4 or later you can use the converter offered by Microsoft until Microsoft Office 2008 becomes available in mid-January (maybe...)

If you are having problems with your iPhone, make sure you have at least 10% of the memory available for the operating system to use. Like Mac OS X the iPhone uses swap files and if you do not give it enough working room you may find your phone behaving erratically.

Synchronica announced Mobile Gateway 3.0 which supports over-the-air synching with the iPhone. It uses Microsoft's secure Outlook Web Access to do this and delivers the messages right into the mail client on the iPhone. Pretty neat for those still chained to Microsoft.

Now, on to being unchained. You can use your iPhone to call internationally, but you can also use your iPhone while travelling internationally. Click on the links to the right for more details.

Journler is my newest favorite Application. It is like iTunes or iPhoto but for your writing. It is simply amazing. If you click above on the link, you will see a video about what it can do. In my opinion, Apple should buy this Application and call it something like iWrite or iJournal or iThink.

Data Capture from Leopard's Mail to Daylite

The new version of Mail.app for leopard will allow for data capture. A picture is worth a thousand words, so watch this video real quick. You will notice that when Mail sees something that looks like a contact's name address, phone number or date it will offer to add it to the address book or iCal

What this means to you, if you are using Daylite with sync services, is that once that person is added to the address book, it will be available in Daylite and the same goes for an appointment in iCal. Seemlessness, it's a wonderful world indeed.

AT & T says that the iPhone will go on sale at 6pm on June 29th. It will be sold at Apple Stores and AT & T owned retail stores. It will not be sold at the franchise stores until later. Apple stores have cleared all appointments during that time to get ready for the frenzy.

Removing addressess from autofill in Mail.app

Some of my clients have been asking me how to get rid of those pesky addresses that seem to come up as possible addresses for what you are typing. Sometimes these are not people in your address book. Here is how to find them and if necessary, delete them.

1. Open Mail

2. Go to the Window Menu

3. Go to the list of Previous Recipients.

4. Click on a name. If someone is in your address book they will have a little icon beside their name.

5. Click Remove Address if you don't want them listed here anymore (If they are in the Address Book, it won't delete them from there, just from this list) or Click on Add to Address Book if you want to add them to the Address Book. The Mail.app autofill feature pulls from the Address Book and the list of Previous Recipients in Mail.

The legends of the computing industry shared the stage yesterday at the All Things Digital Conference.

For me it was like going back in time and reminded me of the day in 1979 when I was 11 years old in a Radio Shack store and I picked up a book on the TRS-80. After 15 minutes of looking at it in the store, I BEGGED my Grandmother to buy it for me. She asked me why and I very confidently replied, "When I grow up I am going to be in Computers." That day essentially started my career in computers.

Watching this webcast took me back to those days of early exploration and fills me with a happy nostalgia.

Using WordPerfect & MS Office 2007 files on Mac OS X

I just found an open source application that will allow you to open and edit WordPerfect files on the Mac. It will also open Microsoft Office 2007 files from the PC that the current Microsoft Office 2004 for the Mac can not open. (Office 2008 for the Mac will be able to open these files).

I installed NeoOffice and it worked great. Besides NeoOffice Writer which is the Word Processor, it also had a database similar to Microsoft Access and a Drawing program.

I was quit impressed with it's overall functionality.

I am back from MacWorld and am so happy to be associated with Apple. I am calling this the must have year because they announced three really cool products that I personally MUST HAVE. And yesterday if possible!

1. The iPhone which is simply the coolest gadget I have ever seen in my life. And trust me I've seen and used a lot. I am so excited about this thing. It will be available in June. You HAVE to watch the Keynote on this, but be aware it will make you absolutely hate your current cell phone - no matter what it is.

2. The new Airport Extreme with 5 times the speed and twice the distance of existing airports, It also allows you to share a USB hard drive which is great in a small business environment that doesn't yet need a server. This is a must if you want Apple TV. (Available in February)

3. Apple TV which allows you to place all your media from iTunes on your widescreen TV. (Available in February.)
